Coach & Volunteer Agreement

This agreement applies to everyone who coaches, volunteers, or is given access to School Of Fish systems, including Clubmate. It sets out the policies you agree to follow, how you must handle people's information, and the standards we expect. You complete it once before your access is set up, and again if we ask you to after a significant change. If anything here is unclear, email info@schooloffish.co.uk before you sign.

1. Our policies

You confirm that you have read and will follow School Of Fish's policies, including the current version of each one and any updates we publish.

2. Safeguarding

School Of Fish works with children and vulnerable adults. Safeguarding comes first, always.

• You hold the checks your role requires, including an Enhanced DBS where needed, and you keep them current.
• You follow the Safeguarding Policy and report any concern to the Designated Safeguarding Lead without delay.
• You do not contact anyone under 18 privately or one to one, including by direct message. All contact stays in approved, visible channels.
• You only photograph or film a young person with the consent set out in the Safeguarding Policy.

3. Personal information

Through your role you will see personal information about members, learners and their families, including children. It is confidential, and it is not yours to use as you wish.

• You use it only to carry out your School Of Fish role.
• You do not share, copy, download, export, screenshot or show it to anyone outside School Of Fish without authorisation.
• You do not use it for your own purposes, and you do not pass it to any other person or organisation.
• You keep your login secure and you do not share your account with anyone.
• You handle all personal information in line with UK data protection law and our Privacy Policy.
• You report any data breach, or anything that might be one, to info@schooloffish.co.uk without delay.
• When you stop coaching or volunteering, your access ends, and you delete or return any School Of Fish information you still hold.

4. System access and use

• Your access is granted for your role and can be removed at any time.
• You use School Of Fish systems and the School Of Fish name only as authorised.
• You do nothing that puts the systems, the information or the organisation at risk.

5. Conduct

• You represent School Of Fish properly and do not bring it into disrepute.
• You follow the reasonable instructions of the School Of Fish lead and the Designated Safeguarding Lead.

6. If this agreement is broken

Breaking this agreement may mean your access is removed. Serious breaches are dealt with under the Complaints & Disciplinary Policy, and a serious data or safeguarding breach may be reported to the relevant authority.
